This Workplace Policy outlines the professional standards, responsibilities, confidentiality expectations, and working practices applicable to people performing work for RentTolet Bangladesh, where relevant to their role and agreed working arrangement.

It is intended to support a respectful, responsible, secure, and professional working environment as the business operates and grows. The policy applies according to the person's actual role, contractual arrangement, applicable law, and the nature of the work performed.

1. Purpose of This Policy

The purpose of this policy is to:

  • Encourage professional and respectful behaviour.
  • Protect customer information and business records.
  • Promote accurate property advertisement handling.
  • Reduce fraud, misuse of business accounts, and unauthorized disclosure.
  • Establish clear expectations for communication and work quality.
  • Support compliance with applicable laws and platform policies.

2. Scope and Application

This policy may apply, as appropriate, to the owner, employees, authorized team members, contractors, freelancers, and other individuals engaged to perform work for RentTolet Bangladesh.

The specific obligations of each person depend on their responsibilities and any applicable employment agreement, service contract, confidentiality agreement, or other written arrangement.

This policy does not, by itself, create an employment relationship or change a person's legal status. That status depends on the actual working arrangement and applicable law.

3. Professional Conduct

Anyone working for or representing RentTolet Bangladesh is expected to:

  • Communicate honestly, politely, and professionally.
  • Treat customers, colleagues, property owners, tenants, and other individuals with respect.
  • Provide accurate information about services, prices, and agreed deliverables.
  • Avoid misleading statements, false promises, and unauthorized commitments.
  • Follow reasonable, role-related instructions and agreed procedures.
  • Protect the reputation and legitimate interests of the business.
  • Report suspected fraud, security incidents, or serious policy violations through an appropriate channel.

4. Equal Treatment, Harassment, and Respect

RentTolet Bangladesh expects a working environment free from harassment, bullying, intimidation, threats, and abusive conduct.

Discrimination or unfair treatment prohibited by applicable law is not acceptable. Work-related decisions should be based on legitimate business requirements, role-related considerations, and lawful criteria.

Sexual harassment, unwanted abusive behaviour, threats, and retaliation against someone for raising a genuine concern should be treated seriously.

5. Work Arrangements and Responsibilities

Work may be performed remotely, online, at an agreed location, or through another arrangement appropriate to the role.

Working hours, availability, responsibilities, deadlines, compensation, leave, and other work conditions should be agreed with the relevant person and documented where appropriate.

No fixed office schedule, salary arrangement, leave entitlement, or employee benefit is created by this policy alone. Applicable law and any relevant agreement remain controlling.

6. Accuracy and Quality of Work

Individuals handling property advertisements or customer requests must take reasonable care to ensure that information is recorded and published according to the customer's instructions and the agreed service.

  • Check property details and contact information supplied for publication.
  • Do not knowingly fabricate rent amounts, property features, ownership claims, or availability.
  • Do not describe a property or advertiser as independently verified unless the relevant verification has actually been performed.
  • Follow the agreed pricing and service scope.
  • Escalate unclear, suspicious, incomplete, or potentially unlawful submissions.
  • Correct errors through the authorized process when appropriate.

Publishing an advertisement does not automatically establish that its contents are authentic or that the property is available.

7. Customer Service and Communication

Customer communications should be professional, clear, and consistent with the services actually offered by RentTolet Bangladesh.

Authorized representatives must not:

  • Promise guaranteed rentals, sales, buyers, tenants, leads, or financial returns.
  • Invent discounts, prices, policies, or payment instructions.
  • Claim authority to make decisions that have not been authorized.
  • Misuse customer contact details for unrelated personal purposes.
  • Threaten, harass, or intentionally mislead customers.

Complaints and difficult situations should be handled calmly and referred to the authorized person when necessary.

8. Confidentiality and Customer Privacy

Individuals performing work for RentTolet Bangladesh must protect confidential business information and personal information obtained through their work.

Confidential information may include:

Personal information must not be sold, disclosed, copied, or used for unauthorized personal gain. Any suspected privacy breach should be reported promptly.

9. Passwords, Devices, and Account Security

Anyone authorized to access business accounts or systems must take reasonable precautions to protect them.

  • Use strong, unique passwords and available security features.
  • Do not share passwords, OTPs, recovery codes, or payment PINs.
  • Do not grant unauthorized people access to business accounts.
  • Use appropriate device locks and avoid leaving logged-in accounts unattended.
  • Report suspected account compromise, phishing, or unauthorized access promptly.
  • Use authorized access and recovery procedures when changing account settings.

Access to business accounts should be limited to people who need it for their authorized responsibilities.

10. Use of Official Business Accounts

Authorized account access must be used in accordance with applicable platform rules and the relevant person's assigned responsibilities.

11. Content, Copyright, and Intellectual Property

Work created for RentTolet Bangladesh and the ownership or permitted use of that work should be handled according to applicable law and any relevant written agreement.

Individuals must not knowingly copy, publish, or distribute copyrighted photographs, videos, text, logos, or other materials without the necessary rights or authorization.

Customer-submitted materials must only be used for authorized purposes. Questions about ownership, permission, or infringement should be raised before publication when reasonably possible.

12. Conflicts of Interest and Misuse of Position

Individuals representing RentTolet Bangladesh should disclose material conflicts of interest that could affect their work or a customer's interests.

They must not use their role to obtain unauthorized payments, solicit bribes, divert customer orders for personal gain, misuse confidential information, or make false representations about the business.

Any additional restrictions on outside work, competing activities, or business opportunities must be reasonable, clearly communicated, and consistent with applicable law and the person's agreement.

13. Health, Safety, and Well-Being

People performing work should take reasonable steps to protect their own safety and the safety of others in work-related activities.

Where work involves a physical location, meeting, property visit, or other in-person activity, appropriate precautions should be taken according to the circumstances.

Threats, violence, harassment, unsafe instructions, and serious safety concerns should be reported to the appropriate responsible person or authority as necessary.

14. Reporting Problems and Complaints

Concerns about misconduct, harassment, discrimination, fraud, privacy breaches, account security, or other serious workplace issues should be raised with the owner or another authorized contact.

Reports should include relevant facts and supporting information where available. Concerns should be handled fairly and with appropriate discretion.

Information may need to be shared with people responsible for investigating or resolving a concern, or with competent authorities where required by law.

Retaliation against a person for making a genuine complaint or participating honestly in a review is not acceptable.

15. Policy Violations and Corrective Action

Alleged violations may be reviewed based on the available facts, the person's role, the seriousness of the issue, relevant agreements, and applicable law.

Depending on the circumstances, appropriate action may include guidance, correction of work, restriction of account access, removal of authorization, contractual remedies, or other lawful action.

No disciplinary measure is automatic under this general policy. Any action affecting employment or contractual rights must comply with applicable law and relevant agreements.

16. End of Work or Access Authorization

When a person's work or authorization ends, they should return or securely delete business information and materials as reasonably required, subject to applicable legal obligations and any agreed retention requirements.

Access to official business accounts should be reviewed and removed when no longer needed. Confidentiality and data-protection obligations may continue after the work arrangement ends where required by law or an applicable agreement.

17. Legal Compliance

People performing work for RentTolet Bangladesh must follow the laws and lawful requirements applicable to their activities, including relevant obligations concerning privacy, intellectual property, consumer protection, workplace conduct, and platform use.

Employment rights, workplace safety, working conditions, and other statutory obligations will be determined by applicable law and the actual circumstances. This policy does not replace any mandatory legal requirement or lawful employment contract.

18. Policy Updates

RentTolet Bangladesh may update this Workplace Policy as its business, team structure, services, or legal obligations change.

Material changes should be communicated to relevant individuals where appropriate. If a separate agreement or mandatory legal requirement conflicts with this policy, the applicable law and controlling agreement will take precedence to the extent required.
